What Settings are for

Settings is where you configure how your whole workspace behaves: your brand identity, client portal experience, defaults for dates/currency/taxes, what appears in projects and clients, and the templates you reuse every day (tasks, questionnaires, contracts, catalog items).

A good rule:

You set it once in Settings
Then you work faster everywhere else (Projects, Quotes, Contracts, Payments, Portal)

1) General Settings (main “Settings” page)

This page is your “account + brand + defaults” control center.

A) Personal & business identity

Use these fields to define who you are in the CRM and what appears in communications.

Typical fields:

Your name / business name
Used across the app to identify you and your studio.
Brand name (important)
This is often the name clients see in emails/portal.
Website
Useful for linking in communications.
Brand email (important)
Used as a reliable contact channel for clients.
Brand address and VAT / tax id
Helpful if you include these details in business documents and emails.

Why it matters:

Consistency across quotes, invoices, contracts, portal pages, and emails.

B) Language & formatting (how the app displays information)

UI language

Controls the language of the interface (what you see in the dashboard).

Practical impact:

If you work in Italian vs English, set it here so labels and system texts match your preference.

Timezone

Controls how dates/times are interpreted and displayed.

Use it when:

You travel
You work with clients in a specific region
You want calendar-related info to match your real local time

Date & time format

Controls how dates appear (examples: YYYY-MM-DD, DD/MM/YYYY, with or without time).

Use it when:

You want consistency in the whole app
You share screenshots or export data and want it readable in your preferred format

12h / 24h time

Choose whether times are shown like:

14:30 (24h)
2:30 PM (12h)

C) Money defaults (used across Quotes/Invoices)

These are defaults the system uses to pre-fill new documents.

Default currency

This is the currency your workspace uses by default when you create new financial documents.

Practical impact:

New quotes/invoices start with this currency automatically (you can still change it per document if needed).

Default tax percentage

Useful if you frequently apply the same tax rate.

Practical impact:

New quotes/invoices can start with a default tax percent so you don’t manually retype it every time.

D) Public branding & shareable link identity

Public slug (your public URL)

This is your public “brand link identity”.

Used for:

Public pages and share links that belong to your brand

Important behavior:

Once a slug is set, removing it may be restricted to prevent breaking existing public links.

Use it when:

You want a clean, memorable URL for clients

E) Brand assets (visual identity)

Brand logo

Upload/remove your logo.

Used for:

Branding on public experiences (depending on your theme configuration)

Client portal cover

This is the cover image clients see in the portal.

You can:

Upload a cover image
Remove it
Adjust the “focus” position (so the important part of the photo stays visible in the crop)

Why it matters:

The portal looks professional and on-brand.

F) Online payments connection (Stripe)

If you want clients to pay online, you connect your payout account here.

You typically see:

Whether Stripe is connected
Whether payments are enabled and ready
A button to start onboarding (Stripe setup)

Practical outcomes:

Once connected, invoices can generate a checkout flow so clients can pay by card.

2) Notifications (Settings → Notifications)

This section controls which notifications you want to receive.

Use it to decide:

What you want to be notified about (important events vs noise)
How you want to receive them (depending on your app’s notification options)

Practical example:

Turn on notifications for “client viewed something / client commented / payment events”
Turn off notifications for things you don’t need daily

3) Clients Settings

A) Client Custom Fields (Settings → Client Custom Fields)

Custom fields let you add your own fields to the Client profile, beyond name/email/phone.

You can:

Create new fields
Choose field type (text, number, date, select, multi-select, checkbox, file)
Reorder fields (drag & drop) to control how they appear on the client page
Edit or delete a field
For select fields: manage the list of options

When to use custom fields:

You repeatedly track the same info for every client, like:
- Preferred communication channel
- How they found you
- Delivery preferences
- Internal category (“VIP”, “Agency”, “Returning client”)

Important practical note:

Use custom fields for structured info (searchable and consistent).
Use notes for “one-off” context.

4) Projects Settings

A) Project Sources (Settings → Project Sources)

Project Sources are the “where did this lead come from?” options.

You can:

Add a new source (e.g. Instagram, Google, Referral, Wedding Planner)
Rename a source
Delete a source

Where it’s used:

In Project/Lead creation and filtering
In analytics and reporting (to understand what channels work)

B) Project Custom Fields (Settings → Project Custom Fields)

Same concept as client custom fields, but attached to the project.

Use it for:

Project-specific structured info, like:
- Venue type
- Delivery deadline preference
- Editing style
- Package version
- Internal production notes that should be structured

You can:

Create/edit/delete fields
Reorder fields
Configure select options

5) Templates & Libraries (the “work faster” area)

This group is crucial: it’s how you standardize your workflow.

A) Session Templates / Mini-projects (Settings → Mini-projects)

This is a catalog of session templates (think “reusable session types”).

You can:

Create templates (name, description, estimated duration)
Delete templates
Use them later when building structured project work

When to use:

If you sell repeatable session formats (engagement shoot, mini session, corporate headshots)

Outcome:

Faster and more consistent planning.

B) Task Templates (Settings → Task Templates)

Task templates let you define reusable checklists.

You can:

Create templates (for your workflow)
Use system templates (provided by the app) and create your own
Add tasks to a template
Reorder tasks
Edit each task’s details (title, description, priority)
Configure “what happens when completed” (useful to automate your process)
Delete templates or single tasks (with confirmation)

Where it’s used:

In Projects, when you want to apply a ready-made workflow.

Best practice:

Create one template per service type (Wedding, Corporate, Newborn, etc.)

C) Quotes Catalog (Settings → Quotes → Catalog)

The Catalog is your reusable list of quote/invoice items (packages and add-ons).

You can:

Create items with:
- Name
- Description
- Default price
- Default quantity
Edit items
Delete items

Where it’s used:

When building Quotes
When building Invoices (Payments)
So you don’t rewrite the same items every time.

Best practice:

Add your “core packages” + common extras (extra hour, album, travel fee).

D) Contract Templates (Settings → Contract Templates)

Contract templates let you standardize your legal documents.

You can:

Create a new template (name + optional type/description)
Use system templates as a starting point (if available)
Open a template to edit its content and fields
Reuse templates when creating a contract for a project

Why it matters:

You keep contracts consistent
You save time on every new client

E) Questionnaire Templates (Settings → Questionnaires)

This is the templates library for your questionnaires.

You can:

Create templates (name + description)
Build the questions list (types, required, options)
Keep system templates separate from your personal templates
Delete templates

Where it’s used:

When you create a questionnaire for a project and want to start from a preset.

Best practice:

One template per service (Wedding pre-shoot, Family session, Corporate briefing).

6) Subscription (Settings → Subscription)

This section is where you manage:

Your current plan status
Available plans
Payment/subscription details (depending on your setup)
Referral rewards (if available)

Use it when:

You need to upgrade/downgrade
You want to check renewal/billing status

Recommended setup checklist (fast wins)

Set UI language + timezone + date format first (it affects everything).
Set default currency and tax before you start quoting/invoicing.
Upload portal cover + logo to make the client portal feel premium.
Build task templates for your most common workflows.
Build catalog items for your standard packages/add-ons.
Create contract and questionnaire templates to scale your process.
