What “Questionnaires” are for

Questionnaires help you collect structured information from a client before or during a project, without long email threads.

Use them to:

Ask the right questions at the right time (preferences, logistics, style, budget, etc.)
Keep answers organized and easy to review
Save client responses directly inside your workspace
Speed up your workflow and reduce misunderstandings

A questionnaire is always linked to a Project, so your team (and future you) can always find the answers in context.

1) The Questionnaires list (overview)

The main Questionnaires page is your control center.

Statuses

Each questionnaire has a status, so you instantly know what’s going on:

Draft: being prepared, not yet sent to the client
Sent: the client can open it and submit answers
Responded: the client has submitted answers (the form is no longer open for edits)

What you can do here

Create a new questionnaire
Filter and search across questionnaires
Open a questionnaire to edit it
Open the Responses view
Archive questionnaires you don’t need in the main list anymore

Filters (find anything fast)

You can filter by:

Project
Status
Sent date range
Response date range
Search text (name / project / client / status)

This is useful when you handle many projects at once and need to see “what’s still waiting”.

Quick insights

The list view shows quick summary counts (e.g. how many are Draft / Sent / Responded), so you can immediately spot what needs action.

2) Creating and editing a Questionnaire

When you create a questionnaire you set two essentials:

Questionnaire name
Project (required)

After that, you build the questions.

Questions (what you can ask)

You can add different types of questions, such as:

Short text
Long text (textarea)
Number
Checkbox (yes/no)
Select / Radio (choose from options)
Date (picked from a calendar)

You can also mark a question as required.

Drag & drop ordering

You can reorder questions by dragging them.
This helps you structure the questionnaire like a conversation: simple first, detailed later.

3) Templates (repeatable questionnaires)

If you send similar questionnaires often, you can use templates.

What templates do

A template lets you reuse:

The questionnaire structure
The full list of questions
The wording you already refined over time

Where templates are managed

Templates are managed in Settings → Questionnaires:

You can create your own templates
You may also see system templates (provided by the app)

From the questionnaire editor you can select a template and apply it to speed up creation.

4) Preview mode (before you send)

You can preview the questionnaire to see exactly how it will look to the client.

Preview is useful to confirm:

Question order
Required fields
Options (for select/radio)
Overall clarity and tone

5) Sending to the client (share link + email)

Public link access

When you send a questionnaire, the client receives a private link (based on a token).
That link is what the client uses to open and submit answers.

Important behavior:

The public questionnaire is accessible only when the status is Sent
Once the client responds, the questionnaire becomes Responded and the public form stops accepting new submissions

Sending via email

The app supports sending the questionnaire by email, using your prepared subject/body and a generated link.

Tip: if the project has a client assigned, you can usually use the client’s email as the default recipient.

6) Responses (reading what the client submitted)

Each questionnaire has a Responses page.

What you can do in Responses

See all submissions (if multiple were submitted over time)
See:
- Client email (when provided)
- Submission date and time
- Each answer, clearly listed

Export to CSV

You can export responses to CSV, which is useful for:

Keeping a backup
Sharing with collaborators
Quickly reviewing answers outside the app

7) Notifications when a client responds

When a client submits a questionnaire:

The questionnaire is marked as Responded
The system can send you an email notification with a direct link to the responses (depending on your notification preferences)

This ensures you don’t miss a completed questionnaire.

8) Archived Questionnaires

If you want to keep things clean, you can archive questionnaires.

Archived questionnaires:

Don’t clutter your main list
Stay available (you can open them again later)
Can be unarchived when needed

Best practices (simple + high impact)

Keep it short: ask only what you truly need for the next step.
Use required fields carefully: too many required questions reduce completion rate.
Use templates: your workflow will become faster and more consistent.
Write human-friendly labels: clients should understand questions instantly.
Always link to a project: it keeps answers attached to the job they belong to.
