What Payments are for

Payments is where you ask clients to pay you and keep track of what’s been paid.

You mainly use it to:

Create and send invoices
Let clients pay online (if you enable it)
See what’s still unpaid and follow up

The 3 most common things you’ll do

1) Create an invoice and send it

Use this when you want to charge a client for a project.

Open Payments → Invoices
Create a new invoice
Link it to a project (recommended, so everything stays organized)
Add what you’re charging for (items)
Add any notes you want the client to read
Send it by email (or copy the link and share it)

Result: your client receives an invoice they can open and pay.

2) Share an invoice link (WhatsApp / DM / email)

Use this when the client prefers messaging instead of email.

Open the invoice
Copy the public link
Paste it into WhatsApp / Instagram / email

Result: the client can open the invoice and pay (if online payments are enabled).

3) Check what is still unpaid

Use this weekly to avoid missing payments.

Go to Payments → Invoices
Filter by invoices that are still not paid (or overdue)
Open the invoice to see details and send a reminder message

Result: you always know what’s pending.

What your client sees (Client Portal)

When you send or share an invoice, the client opens a clean page where they can:

Review the invoice details
Download/print a PDF
Pay online (if available)

This reduces friction: no attachments, no confusion.

Online payments (Stripe) — when to use it

If you enable online payments, clients can pay by card in a secure checkout.

Use it if you want:

Faster payments
Less manual coordination
Clear “paid” confirmation

If it’s not enabled/connected, you can still use invoices as “payment instructions” (bank transfer, cash, etc.) and mark the payment manually based on your workflow.

The Catalog (in Settings) — reuse your packages and add-ons

What it is

The Catalog is a list of reusable items you can add to invoices (and also quotes) in one click.

Example items:

“Full day coverage”
“Extra hour”
“Album”
“Travel fee”

Each catalog item can have:

Name
Description (optional)
Default price
Default quantity

Where to create it

Go to:

Settings → Quotes → Catalog

Even if it says “Quotes”, the same catalog is also used while building invoices, so you don’t have to maintain two lists.

Why it matters

It saves time and keeps your pricing consistent. Instead of rewriting the same items every time, you just pick them.

Good practices (simple)

Always link invoices to a project so you can find everything later.
Use the Catalog for anything you sell often (packages, extras).
Keep invoice notes short and clear (“What this payment covers” + “When it’s due”).
Check unpaid invoices weekly (small habit, big impact).
