What “Clients” are for

Clients is your address book + relationship hub.

It’s where you keep a clean record of every person you work with (or want to work with), so you can:

Find contacts quickly (name, email, phone)
Keep client details consistent across multiple projects
Store extra information that matters to your workflow (custom fields)
Tag clients so you can organize and filter your list
Send clients a portal access link when needed

1) The Clients list (your client database)

What you can do from the list

The Clients page is designed to be fast, searchable, and flexible.

Search

You can search clients by typing into the search bar.
Search is meant to help you find a client even if you only remember:

Part of the name
The email
The phone number

Sorting

You can sort the list by things like:

Name
Creation date
Last updated date
(Some sorting options may depend on the current table mode.)

Pagination (pages)

If you have many clients, the list is paginated:

You can go Previous / Next
You can choose how many rows to show per page (on desktop)

Choose visible columns

You can customize which columns you see (and in which order), so the list matches your way of working.

Typical columns include:

Name
Email
Phone
Tags

This is especially useful if you prefer a minimal list, or if you want to focus on tags and segmentation.

Export CSV

You can export your (currently filtered) client list to CSV.
This is useful for:

Backups
Sharing with a collaborator
Importing into other tools

2) Creating a new Client

Click New Client to add someone manually.

You typically enter:

Name (required)
Email (optional but recommended)
Phone (optional)
Tags (optional, comma-separated)

After creation, you’ll be taken to the client record, where you can add more details.

3) The Client detail page (single client)

The client page is the “profile” of that person.

Quick edits (inline)

Most key fields can be edited directly:

Name
Email (with validation)
Phone
Tags

This makes it quick to update information during a call or after receiving a message.

Custom Fields (optional but powerful)

Clients support custom fields, meaning you can store additional structured info, like:

Preferences
Address-related info
Lead source details
Any internal attributes you want to track consistently

Custom fields can include different types, for example:

Text
Number
Date (picked from a calendar)
Single select
Multi-select (badges)
Checkbox
File upload (single or multiple files)

This is perfect if you want your CRM to match your workflow rather than forcing you into one fixed structure.

Uploading files inside custom fields

If a custom field is a “file” type, you can upload documents/images directly in the client record (depending on how the field was configured).
You can then:

Open the file
Remove it
Manage multiple files if allowed

4) Client Portal link (sharing access)

From the client page you can send the client a portal access link.

What it’s for:

Let the client access their portal without needing a password flow
Share a link that expires after a limited time (for security)

Typical use cases:

After booking is confirmed
When you want them to review documents or updates
When you want them to upload/approve something in a more structured way

5) Client Custom Fields settings

There is a dedicated area in Settings for Client Custom Fields.

This is where you define:

Which custom fields exist
The type of each field (text, date, select, file, etc.)
Whether a field is required
The order of fields (so the UI stays clean and consistent)

Once configured, these fields appear automatically on each client profile.

Best practices (simple and effective)

Always store an email when possible
It’s the most reliable identifier and helps avoid duplicates.
Use tags to group clients
Example: “Wedding”, “Corporate”, “VIP”, “Referral”, “Repeat client”.
Use custom fields for repeatable info
If you keep writing the same details in notes, it probably belongs in a custom field.
Keep client records clean
Update phone/email when it changes—this improves automation and communication later.
Send portal links intentionally
Use them when the client actually needs access, and treat them like time-limited invitations.
