What the Client Portal is for

The Client Portal is a private, client-friendly area where your clients can view and interact with what you share with them—without searching old emails or downloading random attachments.

Use it to:

Centralize quotes, contracts, invoices, questionnaires, and moodboards
Let clients open links anytime from one place
Reduce “can you resend the PDF?” messages
Keep communication clean and trackable (especially with moodboard comments and notifications)

1) How clients access the Portal (login / access link)

A) Access link (recommended)

You can send the client a “magic link” to access the portal.
When they open it, they’re automatically logged into the portal for a period of time.

What the client experiences:

They click a link
They arrive in the portal already authenticated
They can navigate all shared content

B) Token/manual access (fallback)

If the client opens /portal without an active session, they’ll see a screen asking them to enter a token (a code).
This is a fallback method if they didn’t use the magic link.

Session and expiration (in practical terms)

Portal access works like a “temporary pass”.

It can expire after some time.
If it expires, the client simply needs a new access link from you.

2) Portal layout (how clients navigate)

Sidebar navigation (the main menu)

The portal sidebar gives access to:

Dashboard
Notifications
All documents
- Contracts
- Quotes
- Invoices
- Questionnaires
- Moodboards
Projects (per-project shortcuts)
Clients can expand a project and open the documents related to that specific project:
- Project contracts
- Project quotes
- Project invoices
- Project moodboards

Why this matters:

Clients can browse “everything” or go straight to the project they care about.

Brand experience

The portal can show:

Your logo
A cover image banner at the top (configured in Settings) This makes the portal feel like your studio—not a generic tool.

Language selector

Clients can switch portal language (English/Italian).
This helps you serve international clients without maintaining separate workflows.

Logout

Clients can log out anytime from the portal menu.

3) Portal Dashboard (home)

The dashboard is the client’s “overview page”.

What clients typically see here

A welcome header with their name/email
Quick access shortcuts to key areas
“Action items” signals (for example, if something needs attention like unsigned contracts, pending quotes, or unpaid invoices)
Recent notifications preview

Practical purpose:

Clients immediately understand what’s new and what they should do next.

4) Notifications (Portal → Notifications)

Notifications are the portal’s “inbox” of important updates, such as:

You shared a new document (quote/contract/invoice/moodboard)
There is a new message/comment (for example on a moodboard)
Something changed that the client should see

What clients can do

View all notifications
Filter:
- All
- Unread
Mark a notification as read
Mark all notifications as read

Why notifications matter (real usage)

Instead of you chasing them:

“Hey, did you see the invoice?” The portal can gently keep the client informed with a clear list of updates.

5) Contracts (Portal → Contracts)

What clients can do

See all contracts you shared (not drafts)
Open a contract
Download/print a PDF version (printable view)

Typical client actions

Read the agreement
Sign/confirm (depending on how your contract is configured)
Download a copy for their records

List and grid views

Clients can switch between:

List (table view, good for scanning)
Grid (card view, good for mobile and quick open)

6) Quotes (Portal → Quotes)

What clients can do

View all quotes you shared (not drafts)
Open a quote
Download/print a PDF version
See quote status (example: sent/accepted/expired)

Practical use

This is where clients go when they ask:

“Can you send me the quote again?” You can simply say:
“It’s always available in your portal.”

7) Invoices (Portal → Invoices)

What clients can do

View invoices you shared (not drafts)
Open an invoice
Download/print a PDF version
Check invoice status (example: sent/paid/past due)

Paying an invoice

If online payment is enabled for your account, clients can pay from the invoice view. If not, they still use the invoice as the official payment request and instructions.

Practical outcome:

The portal becomes the client’s “billing area”.

8) Questionnaires (Portal → Questionnaires)

What clients can do

See questionnaires you sent
Open and fill them (when still pending)
If already responded, open the responses view (so they can review what they submitted)

Why this helps

Instead of “Please fill this Google Form again”:

The client always finds the questionnaire in their portal
Their response stays connected to the project context

9) Moodboards (Portal → Moodboards)

What clients can do

See moodboards you shared with them
Open a moodboard viewer
Zoom/pan to explore the board
Export/print (if enabled in the viewer)
Use the comments panel to:
- Read discussion
- Comment as themselves (with a saved display name)

Real benefit

Moodboards in the portal make feedback structured:

One place for inspiration + decisions + messages
No more “I liked that photo you sent 2 weeks ago in WhatsApp”.

10) Project-specific portal pages (Portal → Projects menu)

Clients can expand a project in the sidebar and see only the documents tied to that project.

This is ideal when:

A client has multiple jobs with you (e.g., engagement + wedding + album)
You want them to stay focused on the correct project

Best practices (how to use the Portal professionally)

Always send the portal link early
- Right after the first quote or contract, so they get used to it.
Tell clients “everything lives in your portal”
- It reduces support requests immediately.
Use moodboards + comments as the “feedback channel”
- Keeps decisions documented.
Use notifications to avoid chasing
- “You’ll see an alert in your portal when something is ready.”
